Department Overview & Management
A complete cross-departmental view of the institution — enabling the Director to monitor each department's academic health, faculty composition, HOD performance, and operational status without requiring manual reports or department visits.
1. Department List
All departments registered in the institution, displayed as an interactive card grid. Each card provides a snapshot of the department's current status.
1.1 Department Card Information

1.2 Department Health Color Coding
- Healthy — All metrics above threshold, no pending escalations
- Attention Required — One or more metrics below threshold or actions overdue
- Critical — Multiple metrics failing or escalation pending — requires Director intervention
2. Individual Department Deep-Dive
Clicking on any department card opens a full Department Report — a comprehensive multi-tab view of everything happening in that department.
2.1 Overview Tab
- Department Profile: History, programs offered, accreditation status (NBA/NAAC), and infrastructure details.
- HOD Contact: HOD's name, qualification, email, and phone — one-click to send a message.
- Semester Summary: Current semester's key metrics — subjects running, total classes conducted, average marks, attendance.
- Year-over-Year Comparison: How the department's KPIs compare to the same period last year — attendance trend, marks trend, faculty count change.
2.2 Faculty Tab
- Complete Faculty List: All teaching staff with photo, designation, qualification, and subject allocations.
- Feedback Scores: Each faculty member's feedback score from the latest student evaluation cycle.
- Attendance at Duty: Number of lectures conducted vs. total timetabled lectures — showing faculty punctuality and regularity.
- IQAC Contributions: Publications, FDPs attended, research projects, and awards for each faculty member.
- Pending QPMS Submissions: Which faculty have not yet submitted assigned question papers — past their deadline.
2.3 Students Tab
- Enrollment Summary: Class-wise student count with gender and category breakdown.
- Attendance Defaulters: Students across all classes in the department who are below 75% — count and percentage of total enrollment.
- Performance Summary: Average marks across all subjects for the current semester, class-wise.
- Placement Readiness: Students eligible for placements based on attendance and marks criteria, for final-year classes.
2.4 Academic Activity Tab
- Assignments: Total created, submission rates, average marks.
- Online Tests: Tests conducted, class averages, pass rates.
- Marks Entry Status: Which subjects have submitted internal marks and which are pending — for the current examination cycle.
- Leave Management: Leave approval statistics — how quickly the HOD and teachers are processing student leaves.
3. HOD Performance Review
The Director can assess the performance of each HOD based on objective, data-driven metrics — not subjective impressions.
Average time taken by the HOD to approve or reject student leave applications — measures administrative efficiency.
Percentage of teacher-submitted marks that the HOD has reviewed and approved — shows examination management efficiency.
Average student feedback rating for the HOD's department faculty — reflects HOD's quality of academic leadership.
Percentage of required NAAC documentation submitted by the department — reflects compliance and accreditation preparedness.
4. Institute Committees
The Director manages institution-wide committees — assigning members, tracking meeting schedules, and reviewing committee reports.
- Committee List: All institutional committees (Anti-Ragging, Grievance, Women's Cell, IQAC, Examination Committee, etc.) with their mandate and current composition.
- Member Management: Add or remove faculty members from any committee. The assigned faculty member receives a notification of their committee responsibility.
- Meeting Records: Log of committee meeting dates, attendance, and minutes — maintaining a complete institutional governance trail.
- Action Items: Open tasks assigned by committees, with responsible parties and due dates — tracked to closure.
5. Non-Teaching Staff Overview
- Staff Registry: All non-teaching staff (administrative, technical, support) with department assignments and roles.
- Attendance Integration: Non-teaching staff attendance records for HR and payroll reference.
- Department-wise Distribution: How non-teaching staff are allocated across departments — enabling resource optimization decisions.
Overall Benefit: The Department Overview eliminates the Director's dependence on written reports and scheduled HOD meetings to understand departmental health. Every metric — from student attendance to HOD response time — is available on demand. Decisions that used to take days of data collection now take minutes.
