Feedback Administration
The Feedback Administration section gives the Administration Panel the ability to create and manage institution-level feedback campaigns that span all departments — in addition to overseeing feedback campaigns created by individual HODs and auditing all feedback activity system-wide.
① Feedback Form Management
The Administration Panel can create feedback forms that are distributed across all departments simultaneously. This is used for institution-wide surveys such as faculty evaluation by students, infrastructure feedback, or NAAC-required stakeholder surveys.
Creating an Institute-Level Feedback Form
- Go to Administration → Feedback Administration → Manage Forms.
- Click "Create New Feedback Form".
- Enter the Form Title and an optional description.
- Add questions using the question builder:

- Set the Start Date and End Date for the feedback window.
- Choose the Target Audience — All Departments, specific departments, specific classes, or individual students.
- Toggle "Anonymous Mode" if student identities should not be recorded with their responses.
- Click "Save & Publish". The form appears in every targeted student's portal immediately.
Anonymous Mode: When enabled, the system records that a student has responded (for tracking completion) but does not store their identity with the actual answers. HODs can see response rate but cannot see who answered what.
② Institute-Wide Feedback Distribution
After creating a form, the Administration team can distribute it at scale using the bulk allocation tools.
Distribution Options
All Departments
Assign the form to every student in the institution with one click. Used for annual stakeholder surveys and NAAC criterion data collection.
Specific Departments
Target one or more departments (e.g., final-year students only) for focused feedback collection.
Specific Classes
Assign to individual classes (e.g., TY-A only) for class-specific surveys or pilot feedback rounds.
Enable / Disable
Toggle form availability any time — pause a campaign mid-way, then re-enable without losing responses already collected.
Submission Tracking
- Response Rate: Real-time counter showing X of Y targeted students have responded — updated on every page load.
- Pending Students List: View exactly which students have not yet responded — for follow-up reminders.
- Reminder Notification: Send a portal notification to all pending students with one click — no manual messaging required.
- Department-wise Completion: See response rates broken down by department to identify which departments have low participation.
③ Feedback Analytics Dashboard
Once responses are collected, the Administration Panel provides a comprehensive analytics view for each form.
Analytics Features
- Summary Card: Total responses, response rate %, average overall score, form start and end dates at a glance.
- Per-Question Analysis: Each question shows its response distribution with an appropriate chart:
- Rating questions → Average score + histogram of ratings distribution
- MCQ questions → Pie chart or bar chart with percentage per option
- Open text → Paginated list of responses with word count and date
- Department Comparison: For institution-wide forms, compare average ratings across departments side by side — instantly identifies which departments scored highest/lowest.
- Teacher Rating Report: When a feedback form is linked to teacher evaluation, the system auto-generates a teacher-wise performance summary showing each teacher's average score from student ratings.
- Export Analytics: Download the full analytics report as PDF (formatted for NAAC submission) or Excel (for custom processing).
④ Feedback Audit Trail
The Feedback Audit Trail is a complete chronological log of every significant action in the feedback system — providing transparency and accountability for all feedback-related activities across all departments.
What is Logged in the Audit Trail

- Filter Audit Log: Filter by date range, form name, action type, or admin user who performed the action.
- Export Audit Log: Download the complete audit trail as CSV — required for NAAC internal quality documentation.
- HOD Feedback Visibility: The Administration audit trail also shows feedback forms created by individual HODs in their departments — providing top-level oversight without interfering in HOD operations.
Benefit: Manual feedback collection (printing forms, distributing, collecting, counting by hand) that used to take 3-5 days per cycle is now completed in minutes. Institution-wide teacher rating reports that required weeks of tabulation are generated instantly. The complete audit trail satisfies NAAC documentation requirements for feedback mechanism transparency without any manual record-keeping.
