How It Works

The attendance system replaces paper registers entirely. The HOD sets up the master timetable, teachers mark attendance digitally after each lecture, and students see their attendance in real-time. The system automatically calculates percentages, identifies defaulters, and generates reports.

1. Timetable Management (HOD)

• Master Timetable: Configure the full department timetable — map subjects to specific days and time slots for each class
• Time Slot Definition: Create custom lecture timings (e.g., 10:00-11:00, 11:00-12:00)
• Class-Slot Mapping: Assign time slots to specific classes
• Practical Batches: Define separate batches for practical/lab sessions
• Special Allocations: Handle guest lectures, extra classes, and special sessions
• Lecture Adjustments: Record rescheduled, cancelled, or substituted lectures

2. Attendance Marking (Teacher)

• One-Click Marking: Select the class and lecture — student list appears with "Mark All Present" option
• Exception Marking: Mark specific students as absent — much faster than marking each student individually
• Mobile Compatible: Teachers can mark attendance from their mobile phones during or after the lecture
• Date Lock: Attendance for past dates is automatically locked to prevent backdating. HOD can unlock if corrections are needed

3. Student View

• My Attendance: Real-time subject-wise attendance percentage
• Color-Coded Status: Green (above 75%), Amber (60-75%), Red (below 60%) — instant visual alert
• Calendar View: See daily attendance status across the month
• Personal Timetable: View today's lectures, teacher assignments, and room allocations

4. Reports & Analytics (HOD)

• Subject-wise Reports: Attendance percentage per subject per class
• Student-wise Reports: Individual student attendance across all subjects
• Month-wise Analysis: Track attendance trends over months
• Defaulter List: Automatically generates list of students below the minimum threshold
• Excel Export: Download university-format attendance registers with one click

5. Attendance Settings

• Minimum Threshold: Configure the minimum attendance percentage required (typically 75%)
• Auto-Lock: Attendance automatically locks after a configurable period to prevent manipulation
• Admin Unlock: HOD can unlock specific dates for corrections with an audit trail
